Following are some of the more important settings you can set for list members. You must be a list admin to change these settings. If you are not able to get to these settings, please see HelpDesk for assistance.
Not all settings are described below, only the ones which we typically use and of which you should be aware. If you have questions about other settings, please contact HelpDesk.
Basics
Email address: helpdesk@fb.org
This is the most important attribute of a member record as it will determine whether the individual gets the mailing or not.
Name: HelpDesk
The name field should be filled out. For synced lists, this will be populated from iMIS.
List Admin
Is list admin?: yes
This determines who can make changes to the list and its members. In most cases, a member needs to be a list admin to send to the list as well.
Receive list admin mail?: no
This will determine whether the member receives important messages regarding the list. This includes automated subscription and delivery reports, moderation requests, new subscriber requests. For synced lists, the Committee Admin will automatically be set to yes. For other lists, there should be at least one person set to yes.
Receive moderation notifications?: no
Most lists do not use moderation. However, in the event that something changes, someone on the list should be set to receive notifications.
Settings
Membership status: normal member
This determines whether the member is going to receive messages or not. There are only a few statuses which will come up based on our normal usage:
- normal member
The member will receive mailings - held - on hold due to bad email address
The system will not attempt to send to this address anymore. Reset the status to normal member in order to allow the member to start receiving messages again. - unsubscribed
The member has unsubscribed from the list and will no longer receive messages. This also occurs when the list is synced and the member is no longer in the source data, i.e. the person is no longer on the associated iMIS committee. - complaint - received a spam complain from the member
This is a bit misleading, based on how we sync lists. Some lists are voluntary lists, but also include a sync to iMIS committees so that certain groups of people are automatically added to the list.
For example, executivenews is synced with AFBF Women's Leadership Committee, AFBF YF&R Committee, AFBF Board of Directors, State FB Administrators, State FB Presidents, State FB Assistants to the President. So anyone added to any of those committees in iMIS will automatically be added to the list. However, if anyone wants to opt out, they need to be set to complaint, not unsubscribed. If they are set to unsubscribed, then they will be resubscribed the next time it syncs because they still exist in the source committee.
Membership kind: mail: receive messages as they are contributed
This setting allows members to individually determine how they receive mail. The vast majority of lists will be set to mail, which means when someone sends a message, they receive it. However, there are other options as well.
- digest - one daily message with all the contributions for that day
This is useful for lists which send a lot of messages per day, and for members who don't want to get each message individually. This will send one mailing at the end of the day (usually around midnight), with all the messages combined. - index: one daily message with only subject lines for the day
This gives a short list of the message and then requires the recipient to log in to ListManager to read the message. Do not use this setting. - nomail: receive no mail from this mailing list
This is useful for people that need to be able to send to a list, but don't want to get other people's mailings. The member will still be able to log in to ListManager and read any message, so this is not a secure setting, only a preference.
Enter New Password: ********
Verify New Password: ********
You can reset your password here. All list admins are required to have a password. We do not use passwords for access to lists. There is more information on password usage in the ListManager Passwords article.
Advanced Settings
Hold user?: No, never put this member on hold, even if they bounce too much mail
We discourage the practice of holding users. But if it is enabled for your list, you can override the list setting for a specific user by setting this to no.
User ID: iMIS: 119
If the list is synced, this field will be filled with the iMIS ID so you can find them in iMIS.
Comment: my_list
If the list is synced, this field will be filled with the name of the list.
Additional: MY_LIST: Committee Member
If the list is synced, this field will be filled with the committee code and committee position from iMIS from which the member was pulled. This will help you identify where to make changes in iMIS if the member should not be on the list.
Demographics
If the list is synced, all of these general contact fields will be filled from iMIS. These data are not used by ListManager for anything and are solely for your viewing pleasure, with one exception.
Country_: USA
State_Province_: DC
When the Country and State/Province fields are filled, it will enable ListManager to map where the mailing went. To view the map, go to Home, and select a mailing. In the bottom right hand corner is a field that says Where mails sent: click here. That will open a map, visually displaying the location of all the recipients.
