Utilities : List Settings : Automatic Maintenance

Following are some of the more important settings you can set for your list. You must be a list admin to change these settings. If you are not able to get to these settings, please see HelpDesk for assistance.

Not all settings are described below, only the ones which we typically use and of which you should be aware. If you have questions about other settings, please contact HelpDesk.

Error Mail

Hold users: no

If a receiving email server does not accept the incoming message for any reason, they message will bounce. If this happens too many times, the user may be "held" which means ListManager will assume the address is invalid and will not try to send to it for any future mailings. For our purposes, we usually want to keep trying regardless of whether they got a previous mailing so we can see mail continues to bounce and we can deal with each problem address individually.

Redirect all bounces to email address:

This should be left blank. This does not do what you think it does. This does not simply send bounce messages to someone so they can see someone didn't get the mailing. This will send mail to a different mail server to process the errors. The result is that ListManager will no longer be able to tell whether any message was successfully sent. This setting should never be changed from blank.

Purging Inactive Members

By default list members are never deleted, so you will see all normal members, unsubscribed, held, etcetera. However, since many lists are synced from iMIS where we can see the committee history, we can usually delete unsubscribed members.

Purge unsubscribed: after one day

For lists that are synced with iMIS, it is recommended that unsubscribed members be purged after one day so they no longer appear on the list.

Purging Archives

Keep archived messages for how many days: 30

You can specify the length of time you keep old messages in case you need to look back and make sure people received it. The default is 30 days.

Keep how many messages archived: 30

You can also specify how many messages are kept. For example, you can specify that only the last five messages are kept. The default is 30 messages.

Keep mailing and clickthrough data for how many days: 30

Mailing and clickthrough data is similar to archived messages. The default is 30 days.
